The program was first released by Microsoft in 1997, many versions of Outlook were released after that, making considerable changes in the program engine and the user interface of the program. Outlook 2010 is the most popular and latest version available for users. Here we discuss how a user can configure his/her Outlook 2010 program for managing the emails by using the apt Outlook email setup guidelines.

If you work in a corporate environment, it is better to configure the Outlook client by making use of the Microsoft Exchange Server or if you are using the program to manage your personal emails, you can configure the program to make use of a POP3 or IMAP server for using the program to manage your email account. Since Outlook 2010 is the most popular version of the Outlook program available now, we discuss here how you could configure the email client.

After you have installed the program on your computer by following the Outlook email setup prompts, you will need to activate the program for using it effectively and for getting support from Microsoft for fixing the issues that arise in the program. Launch the Outlook program and then click on the Account Settings tab found under the File menu for configuring an email.

You will be redirected to a new page where the software will ask you to input all the necessary details for configuring a new email account in the Outlook program like email address, password, type of email you would like to configure etc. If you are using the auto setup process, all the server details will be provided automatically using the Microsoft Exchange Server.

However, there is also an option to setup your email in Outlook using POP3 or IMAP, for doing it, you must select the option for manually configuring the application. After you select the option, the Outlook client will now ask you to select the type of account you would like to setup from the drop down menu.

How To Troubleshoot Email In Outlook 2010 And 2013

Microsoft Outlook is an email client developed by Microsoft. It functions as a great personal information manager. In Outlook, there’s a lot you can do apart from sending and receiving emails, like task allocation, scheduling, creating events, etc. In this article, we will see how to troubleshoot Email in Outlook.

You can use the following information to troubleshoot common Outlook problems or issues that come up while you’re setting up email in Outlook. Here are the steps:

Ensure that you can connect to Workspace Mail

First and foremost, connect to Workspace Mail from your web browser for ensuring that you have an account, and that your user name and password work.

In case you cannot log in, double-check that your email account is set up, and that you have the correct email address and password. Then you might need to contact the system administrator who set up your account.

Verify your Settings
Adding server and account information can be tricky; it is easy to mistype a letter or two. So, double-check that you are using the correct incoming and outgoing servers, email address, and password to connect to your email account.

Your server names might also be different compared to the default setup, as it depends on which type of email plan you have, and where you purchased it.

Try Different SMTP Ports

Usually, SSL and port 465 should work most of the time. In case you can receive email, but if you are not able to send any messages from Outlook, then check again that you are using the correct port number.

Change your Outlook SMTP Port Settings
  • In Microsoft Outlook 2010, you can click on File, and then click on Account Settings.
  • You can select the account you want to change, and then click on Change.
  • You can click on More Settings... and then select the Advanced tab.
  • Then next to Use the following type of encrypted connection, you can select SSL.
  • Then, next to Outgoing Server (SMTP), you can type 465. Now click on the OK button, and then click on Next.
  • In case those settings do not work, you can repeat steps 1-3 and then select None for Use the following type of encrypted connection. You need to try these other ports for Outgoing server: 80, 3535, and 25.
  • Then click on the OK button and then the Next button to see if the other ports will work.
If you are unable to resolve the issue even after following the above three steps, call Customer Support and get them to look into the matter for you. They’re well versed in dealing with such Outlook problems; so they’ll sort the whole thing out in a blink.

Microsoft To Release Skype For Outlook.Com Users

Skype is a popular instant messaging service that is in the ownership of the software giant Microsoft now. Over the little time after the company has taken control of the instant messaging client, they have integrated their popular Windows Live messenger program with the Skype messenger. Now we hear better news from Microsoft, they are planning to integrate the Skype program with their legendary Outlook email service. Skype will be one of the best Microsoft Outlook tools that is in use now.

With this new integration, there will not be any need for installing of the Skype program on your system to make calls with your friends on Skype if you have an Outlook.com account. The new integration of the Skype program with the Microsoft Outlook gives it a competitive edge over the Gmail email service provided by the company’s arch rival Google. The Outlook email service has a vast user base, which is mainly due to the infusion of the Hotmail email service from Microsoft. However with the integration of Outlook with Skype, Skype also benefits, as the instant messaging program will be getting over 400 million users overnight.

Even though Microsoft is planning to strengthen Outlook by integrating more Microsoft Outlook tools to the program, it is sad to admit that Google is still the leader in the industry. There is nothing that Google needs to worry with the integration of Skype to Outlook program, as they do have their Hangouts. Even though Hangouts does not have the call quality and dependability of the Skype program, it is a wonder why people prefer Google to Microsoft services.

In a recent blog post from Microsoft, they have published the findings of a new research survey from them stating that about 76 percent of people who chat with their clients have indicated that they will need to make a video call or phone call with the client on explaining their product to the clients. Well it will be a great advantage for the Outlook users as they now have the integration of Skype program in the email service, as they will be able to make calls easily from the instant messaging client.

However, at present, the integration feature is available in only selected countries like U.S., the U.K., Germany, France, Brazil and Canada. We can hope that Microsoft will make the integration default all over the world very soon.

Transferring Outlook Emails To Another Computer

If you use the Outlook email client to manage your email accounts, calendars and address book, you may need to move your Outlook files and folders to another computer. This can be needed after a computer upgrade or you may need to access files on more than one computer. The Outlook email setup steps to do this are explained below.

Instructions

  • Click on the Data Files button and the Account Settings window will be opened under the Data Files tab.
  • Choose Personal folder from the list and then click on Settings that is located under the tab Names. You can take down the path that is listed next to the Filename. This is the location where your Outlook PST file is saved.
  • You may click on the Compact Now button to decrease the size of the PST file. You can skip this step, but the PST file can be large. After doing this step, click on the OK button to close the window.
  • Open Windows Explorer and type in the path that you have noted down. After locating the file, you can right-click on the file name and select Copy from the options. Paste this copied file to a location from where you can find it easily. The easiest method is to paste the file directly to a removable media like a USB drive.
  • Move the PST file to the new computer in which you need to relocate the Outlook data. If you have used a removable device, this will be an easy task of plugging the device to the new computer. If you do not have a removable device, you can send the file as an email attachment or you may burn it to a DVD or CD.
  • Open Outlook in the new computer and then click on the File menu. From the File options, select Import And Export. Select the option Import from Another Program or File and click on the Next button.
  • Click the Personal Folder File and then on Next. Type in the path of the PST file that you need to import and select Browse to find the file. Choose one of the three options and then press Next.
  • Select the topmost folder in the hierarchy and click Finish to complete the steps.
These are the Outlook email setup steps to import data in Outlook from one PC to other.

Steps To Repair Corrupt PST Files

Have you ever wondered why the PST files are so important? These files are important as they represent the centralized place for the storage of emails and data. All the information related to the Outlook Express emails, calendar entries, personal folders etc are stored in the Outlook PST files. These PST files are susceptible to a number of problems. At times, these files may exceed the allowable size of 2 GB or may get simply corrupted. The issue with the PST files is that they are very unstable, easily corrupted and the larger their size, the more likely that they get corrupted.

When these PST files get corrupted or damaged due to a number of reasons, and you are unable to open content in the Microsoft Outlook program, you can make use of either the Inbox Repair Tool or any other third party applications to scan these files and to recover the data from the files.

Inbox Repair Tool To Fix PST Files

Microsoft provides a utility called the Inbox Repair Tool that the users can use to get back the data from the corrupted PST files. However, the Inbox Repair Tool or the Scanpst tool will not always be able to recover all the lost data. The ScanPst file works by rewriting the header information of the PST file and then deleting any data, within the file that the tool fails to understand. If a PST file has got corrupted because the header is damaged, then the Inbox Repair Tool will not have any trouble recovering the complete file. However, if more than the header is damaged or corrupted, you will have to make use of other tools to fix the PST file.

Corrupt PST File Repair

There are a number of very powerful tools to recover and repair the corrupt Outlook PST files when the Inbox Repair Tool is unable to fix the corrupt PST files. One such tool is the Stellar Outlook Repair Tool. This tool is able to quickly recover the email messages and other items from the corrupted PST files in the Outlook program. This means that the user will be able to recover all the objects and items in the Outlook program like email messages with attachments, contacts, journals, tasks, calendars, drafts, notes etc.

If you wish to know more on the PST repair tools, you may contact the Outlook help team. You can also refer to the Outlook help modules posted in the Microsoft website to know more on the process.

For instance, let us analyse a situation to understand when you may need to convert OST to PST. In case, you have joined a new company on contractual basis for a year. You might be given a MS Outlook account, which you can also use it at work in the offline mode when you are not connected to an Exchange Server.

Then, consider this situation, when after a year your contract is renewed, you are having some time gap in between like two months. When you join the company again, you find that your mailbox from Exchange Server is deleted and you will be surprised to find that your inbox is now empty but the old OST file is still available. Then you will certainly need a way to import OST file to Outlook, so that you can have access to your old emails, contacts, notes, etc.

Even if your mailbox from Exchange Server is deleted, you have no reason to worry. This is because you still have a chance to recover emails, notes, contacts, etc. from old OST file. But, if the old profile is deleted, you can try a system restore in order to retrieve data from the OST file.

When you perform the system restore to an earlier time point, (this is the point when you used your Outlook the last time). Outlook will get its old settings that will allow you to access to the OST file in the offline mode. Here are the Outlook help steps to guide you through the process:

Outlook help instructions:
  • Select ‘Start’. Then go to ‘All Programs’ and then ‘Accessories’ and after that ‘System Tools’ and finally ‘System Restore’. Then the ‘System Restore’ dialog box appears.
  • Select the ‘Restore my computer to an earlier time’ option and then click on the ‘Next’ button.
  • The wizard will show you many restore points. Check if a restore point indicates the date on which you used Outlook the last time.
  • In case, you find the date, select it, and then click on the ‘Next’ button and let the wizard do its work.
  • This process may take some time. When the system has been restored, then start ‘Outlook’, and then go in offline mode for working with the old Outlook file.
The above steps should help you resolve your problem and after that you will be able to access the old emails or data.
